ZINFI Share Portal — Terms & Data Notice
Effective: September 4, 2026 · Version 1.0
1. About this notice.
The ZINFI Share Portal (“Portal”) is a secure document-sharing service operated by ZINFI Technologies, Inc. (“ZINFI”, “we”) for its prospects, customers, and partners (“you”, “your organization”). This notice explains how the Portal works, what we track, how we use AI, and how we protect your data. It supplements ZINFI’s corporate policies, which are incorporated by reference: the Privacy Policy, Terms of Use, Cookie Policy, Data Processing Addendum, List of Sub-Processors, GDPR Compliance, CCPA Compliance, and Accessibility Statement. All are available in the ZINFI Trust & Compliance Center. Where this notice is more specific to the Portal, it governs Portal use; where a signed agreement between your organization and ZINFI exists, that agreement governs.
2. Access to the Portal.
Access is by invitation only. ZINFI provisions accounts and workspaces; there is no self-registration. You are responsible for keeping your credentials confidential, for all activity under your login, and for notifying ZINFI promptly of any suspected unauthorized use. Your organization’s administrator is responsible for the users invited under its account.
3. Your content.
Documents your organization uploads or that ZINFI shares with you through the Portal (“Content”) remain the property of their owner. ZINFI processes Content only to provide, secure, support, and improve the operation of the Portal for your organization. ZINFI does not access Content except as needed to provide the service, to respond to a support request you make, to comply with law, or to protect the security of the Portal.
4. Security monitoring and activity logging.
For security, audit, and support purposes, the Portal records an activity log of actions taken within each account, including: sign-in and password events; invitations issued, accepted, or revoked; workspace, folder, and document creation, movement, and deletion; and document downloads (who, what, and when). This log is retained for the life of the account and is visible to authorized users within your organization’s account and to authorized ZINFI staff. It is not shared outside your account except as described in Section 6. We also collect standard technical information needed to operate and secure the service (such as IP address, browser and device type, and timestamps).
5. Use of artificial intelligence.
ZINFI may use AI-assisted tooling to help operate and secure the Portal — for example, for security monitoring, anomaly detection, and support. If AI-assisted features are introduced into the Portal itself, they will process your data only to deliver that feature to your organization. Your Content, account data, and activity data are not used to train, fine-tune, or improve ZINFI’s or any third party’s AI models, products, or services.
6. No sale or disclosure to third parties.
ZINFI does not sell, rent, or trade your Content or personal data, and does not use it for advertising. We do not disclose it to third parties except: (a) to sub-processors that are necessary to host and deliver the service, acting under written data-protection terms and listed in our List of Sub-Processors; (b) where required by law, regulation, or valid legal process, in which case we will notify you where legally permitted; (c) to protect the rights, safety, or security of ZINFI, its users, or the public; or (d) at your organization’s direction.
7. Cookies and similar technologies.
The Portal uses only strictly necessary cookies and browser storage to keep you signed in and to secure your session. It does not use advertising, cross-site tracking, or third-party analytics cookies. See the Cookie Policy for ZINFI’s broader practices.
8. Data protection, location, and retention.
Content is stored encrypted in a private storage environment and is never made publicly accessible; downloads occur only through short-lived, authenticated links. Access within the Portal is isolated per organization. Content and activity data are retained while your organization’s account is active and for a limited period afterward for security and legal purposes, after which they are deleted or anonymized. Your organization may request deletion of its Content at any time by contacting ZINFI. ZINFI’s data-protection commitments, including international transfer safeguards, are described in the Data Processing Addendum.
9. Your privacy rights.
Depending on where you are located, you may have rights to access, correct, delete, or restrict the processing of your personal data, or to object to it. ZINFI supports these rights as described in our GDPR Compliance and CCPA Compliance pages and our Privacy Policy. To exercise a right, contact us using the details below.
10. Acceptable use.
You agree not to use the Portal to upload unlawful content or malware, to attempt to access another organization’s account or data, to circumvent security controls, or to interfere with the service. ZINFI may suspend access that violates this notice or threatens the security of the Portal.
11. Changes to this notice.
ZINFI may update this notice from time to time. The effective date and version above will change when we do, and material changes will be communicated within the Portal.
